Scope

Ceridian Cares, a registered charity in Canada, and Ceridian Cares U.S., a non-profit corporation (herein, “Ceridian Cares”) are committed to protecting your Personal Information and processing it responsibly. This Privacy Statement (“Statement”) describes our general practices relating to the collection, use and disclosure of data relating to our website visitors, grant applicants, grant recipients and donors (“Personal Information”).

The Personal Information Ceridian Cares Collects

Applicants/Recipients
Ceridian Cares collects Personal Information directly from you when you submit an application for a grant on your behalf or someone else’s behalf, as well as when you are awarded a grant.  For example:

  • When you submit a grant application, we collect your name, mailing address, telephone number, email address, whether you are a Ceridian employee or immediate family member of a Ceridian employee, proof of citizenship or permanent residency status, family and any other information you may choose to provide to describe the reason for your request;
  • In Canada, we collect proof of prior year’s income;
  • If you receive a grant, we may collect a photo or video along with any other information you may choose to provide in the testimonial if you permit us to do so;
  • When you access our website, we automatically collect information about your device and use of the website through cookies and similar technologies —See Ceridian Cares Cookie Statement.

Donors
Ceridian Cares collects Personal Information directly from you if you donate through our website.  Donor information is also collected from Ceridian HCM, Inc., and its affiliates (herein “Ceridian”) which collects donations from its employees on behalf of Ceridian Cares.  For example:

  • When you make a donation, we collect contact information such as your name, mailing address, telephone number and email address, the donation amount, whether the donation is a one-time or ongoing gift, and the Ceridian office the donor is associated with (if you are a Ceridian employee);
  • When you access our website, we collect information relating to your website activity through cookies and similar technologies—See Ceridian Cares Cookie Statement.

How Personal Information is Used

Applicants/Recipients
Ceridian Cares uses Personal Information of grant applicants and grant recipients to:

  • Confirm an individual’s identity as a potential grant recipient;
  • Determine eligibility based on the described financial circumstances;
  • Assess how a grant from Ceridian Cares would address an individual’s unique needs based on the totality of their circumstances (financial or otherwise);
  • Assess how a grant from Ceridian Cares would increase an individual’s quality of life;
  • Contact grant recipients;
  • Distribute grants to recipients;
  • In support of testimonials, with consent.

Donors
Ceridian Cares uses Personal Information of donors to:

  • Solicit and collect donations;
  • Provide tax receipts;
  • Provide donors with information about Ceridian Cares activities and initiatives;
  • Build and cultivate relationships with donors through exchanges of information.

In some cases, Ceridian Cares de-identifies or anonymizes Personal Information in support of legitimate business purposes.  Once deidentified or anonymized, such data is no longer considered Personal Information.  When using deidentified or anonymized data, Ceridian Cares does not attempt to reidentify the data. 

How Personal Information is Shared

Ceridian
We share Personal Information with Ceridian in limited circumstances:

  • Ceridian employee volunteers may reach out to the grant recipients to tell them they have been awarded a grant;
  • Information about grant awards is shared with Ceridian’s Finance Department who issues the grant payment;
  • Ceridian employee information collected directly by Ceridian Cares is shared with Ceridian’s Payroll and Finance Department to deduct donations from employee paychecks. 

 

Service Providers
We share Personal Information with companies or individuals that provide us with services such as creating and maintaining our databases.  In addition, we may engage service providers to facilitate the provision of products or services to grant recipients.  Service providers can only process Personal Information as instructed by Ceridian Cares.

 

Business Transition
In the event that Ceridian Cares, or any portion of our assets, are acquired, sold, or transferred, Ceridian Cares will disclose Personal Information with the company involved to complete the business transition, including at the negotiation stage.

 

Law Enforcement
We may report to law enforcement agencies any activities that we reasonably believe to be unlawful, or that we reasonably believe will aid a law enforcement investigation into unlawful activity.  In addition, we reserve the right to release your Personal Information to law enforcement agencies if we determine, in our sole judgment, that either you have violated our policies, or the release of your Personal Information will protect the rights, property, or safety of Ceridian Cares, or another person.

 

Legal Process
We may share your Personal Information with others as required by, or permitted by, law.  This includes sharing your Personal Information with governmental entities, or third parties in response to subpoenas, court orders, other legal process, or as we believe is necessary to exercise our legal rights, to defend against legal claims that have been brought against us, or to defend against possible legal claims that we determine in our sole discretion might be brought against us.

Cross Border Transfers

To run Ceridian Cares, we may store and process your Personal Information in any country where Ceridian Cares and authorized third parties operate. When we transfer your Personal Information in this manner across country borders, we implement adequate measures for its protection, and for compliance with applicable laws.

How Personal Information is Protected

Ceridian Cares has implemented policies and procedures to protect Personal Information.  Ceridian Cares uses recognized industry standard security safeguards appropriate to the sensitivity of the Personal Information.  Ceridian Cares reviews its security policies and procedures on a regular basis and updates them as needed to maintain their relevance.  Ceridian Cares makes reasonable security arrangements to protect Personal Information from and against risks, such as loss or theft, as well as unauthorized access, collection, use, disclosure, copying, modification, disposal and destruction.  The methods of protection include physical measures, organizational measures and technological measures.  Ceridian Cares requires all third parties to whom it transfers Personal Information to maintain adequate safeguards in compliance with applicable laws and standards to protect Personal Information.  In the event that Ceridian Cares is required by law to inform you of a breach of your Personal Information, we will notify you electronically, in writing or by telephone, if permitted by law. 

Retention of Personal Information

Ceridian Cares will retain your Personal Information for as long as necessary to fulfill the purpose for which it was collected or as required to comply with legal obligations. These legal obligations are reflected in an internal retention policy and schedule. At the end of the retention period, Ceridian Cares will securely delete the Personal Information. If there is any data that we are unable, for technical reasons, to delete entirely from our systems, we will put in place appropriate measures to prevent any further use of such data.

Do Not Track Disclosure

Do Not Track (DNT) is a preference that users can set for their browsers to opt out of the online tracking activities by some websites. Ceridian Cares does not respond to DNT signals in browsers.

How to Exercise Your Rights

Ceridian Cares makes reasonable efforts to keep Personal Information as accurate, complete and up-to-date as is necessary to fulfill the purposes for which the information is to be used.  Unless Ceridian Cares is permitted or required by law to prohibit access, you can view and if necessary, update and correct your Personal Information.  Depending on the jurisdiction in which you are, you may have additional rights such as the right to request deletion of your Personal Information, the right to restrict or object to processing your Personal Information by Ceridian Cares or the right to transfer your Personal Information to another organization.  Individuals can submit requests for any of these rights here or by using the information in the “How to Contact Ceridian Cares” section.

 

Note that, as required by law, we will require you to prove your identity.  We may verify your identity by phone call or email.  Depending on your request, we will ask for information such as your name and contact information.  We may also ask you to provide a signed declaration confirming your identity.  In some circumstances, you may designate an authorized agent to submit requests on your behalf here.  We will require verification that you provided the authorized agent permission to make a request on your behalf.

 

Individuals can raise concerns or file complaints here.  Ceridian Cares will investigate all complaints and take appropriate action to remedy any issues.
